To this end, The Synergist acts as an independent, neutral backbone and incubator. We bring together the right people, organizations, and institutions globally. We foster an organized, safe, and collaborative environment that enables collective impact by co-defining a shared vision, goals, and strategies with members; establishing and maintaining a transparent and balanced governance structure; coordinating and driving activities, and bringing to life concrete projects and solutions that have been shaped with and complemented by a broad stakeholder group. This is what we call ‘leading from behind’.

Your role

As a Digital Operations Associate Manager, you will play a key role in supporting the digital operations of The Synergist. You will help optimize digital tools, manage IT support needs, and drive growth and automation strategies. 

​Reporting to the Communications Manager and in matrix to the Chief Technology Officer, you will work cross-functionally with communications, IT, and program teams to ensure smooth operations and data-driven decision-making

The program team is a key partner in digital operations, creating and managing the environment for collective platforms and co-creation of solutions to address complex societal issues. You support the production and delivery of appropriate digital strategies and user engagement for every step of program development. You will make recommendations and help deliver appropriate digital tactics to continuously demonstrate progress and tangible results at every stage of the programs delivery, whilst using innovative digital marketing techniques to build program credibility, influence, and legitimacy.

Key Responsibilities

  1. CRM HubSpot Management & Automation
  • Develop and implement email marketing campaigns, including audience segmentation and automation workflows.
  • Optimize the CRM system for effective fundraising, engagement tracking, and reporting.
  • Automate stakeholder outreach and engagement processes.

2. Growth & Data Optimization

  • Utilize HubSpot data to refine audience engagement and fundraising strategies.
  • Provide data insights and reporting dashboards to support program teams.
  • Monitor user engagement, new leads, and Synapse activity to enhance retention.

3. Website & Digital Platform Management

  • Manage and update The Synergist’s and program WordPress websites in an agile and autonomous way, without relying on external providers for day-to-day changes.
  • Ensure content updates, page creation, and basic visual adjustments using WordPress and its plugins.
  • Monitor and optimize SEO performance (and GEO (Generative Engine Optimization), AISO (AI Search Optimization)), ensuring high visibility and search ranking for both corporate and program pages.
  • Apply basic UX/UI best practices to improve user journeys, engagement, and readability, based on proven experience or demonstrated affinity with digital design.
  • Coordinate with the Communications team to ensure consistency of visual identity and messaging across all digital platforms.
  • Proactively propose and implement improvements to enhance website performance, user experience, and lead generation.

4. Synapse IT Support & Tech Operations Administration

  • Plan and execute testing of new developments in the staging environment, coordinating testers and feedback.
  • Present significant technical fixes to the monthly IT committee for prioritization.
  • Manage minor enhancements and larger bug fixes as mini-projects, encompassing documentation, vendor coordination, and cost estimation.
  • Ensure seamless data flow through effective integration of HubSpot and Synapse.
  • Maintain the smooth operation of the Synapse platform, addressing bug tracking, reporting, and integrations.

The successful candidate will demonstrate:

  • A positive attitude and collaborative approach consistent with The Synergist organization's proactive & caring culture.
  • Strong project management skills, including business analysis experience.
  • Familiarity with web application, social network, and community technology operations and support.
  • Knowledge of CRM tools (HubSpot preferred but not mandatory), with expertise in CRM automation, email marketing, and setting up/tracking fundraising pipelines.
  • Tech-savviness (not a developer), with the ability to manage Synapse platform needs and IT support.
  • A data-driven mindset, understanding engagement metrics and audience growth strategies.
  • Comfort working cross-functionally with communications, fundraising, IT, and program teams.
